Documentation Assistant
Location: Site-based, Poland (Commissioning Phase)
Duration: 12-month freelance contract
Start Date: May 2026
Languages: Fluent English & Polish (Written and Verbal)
The Role
During the commissioning of a Waste-to-Energy plant, thousands of technical documents, test reports, and certificates are generated daily. Your job is to ensure every piece of paper is where it needs to be, correctly translated where necessary, and compliant with both project standards and Polish law. You will be the right hand to the Commissioning Manager.
What you’ll be doing:
- Technical Document Control: Managing the flow of "As-Built" drawings, datasheets, and O&M (Operation & Maintenance) manuals.
- UDT Liaison: Assisting engineers in preparing the specific technical folders required by the Polish Office of Technical Inspection (UDT) for boilers and pressure equipment.
- Translation Support: Translating technical punch lists, safety procedures, and meeting minutes between English and Polish.
- Archive Management: Maintaining the digital and physical project library, ensuring version control is strictly followed (no one should be working off an old drawing).
- Reporting: Helping the commissioning team compile daily and weekly progress reports for the client.
What we’re looking for:
- Industrial Experience: You’ve worked on a construction or energy site before. You know what a "welding log" or a "hydro-test certificate" looks like.
- Language Precision: You can translate technical terms accurately. Using the wrong word for "valve" or "pressure vessel" in a legal document is a no-go.
- Organizational Ninja: You actually enjoy folders, spreadsheets, and keeping things tidy. When the Commissioning Manager asks for a specific test report from three months ago, you can find it in 30 seconds.
- Software Skills: High proficiency in MS Office (Word/Excel) and document management software (like Aconex, SharePoint, or similar).
Why this role is critical:
In the commissioning phase, "if it isn't documented, it didn't happen." You are the person who ensures the project actually reaches the finish line legally.
